Read carefully the following conversation between Ross and Susan and then answer the question below it.

 

Ross:
Susan Charles, a fine secretary you are! Don't you know that the students from Guadeloupe arrive on September 15th?
   
Susan:
Both the boys and the girls. So what else is new?
   
Ross: None of your wisecracks. That's only a month away and we haven't found accommodation for them as yet. The hotel says there won't be any room at that time. As secretary of the club, it's your responsibility...
   
Susan: I know, I know. I'll arrange for them to stay in private homes. I'm sure the villagers won't mind taking them in for a small charge. It's only for two weeks. Our visitors are booked to leave on the 30th.
   
Ross: Not a bad idea. Why don't you write to all the villagers asking them to write to us if they are interested in putting up these students? I wonder how much they'll charge.
   
Susan: I'll ask them to give their rates. We'll have to insist, though, that the villagers who are interested must be able to speak French. The Guadeloupans speak no English.
   
Ross: At least not the six who are coming. Should the villagers provide meals?
   
Susan: Breakfast and dinner, except on Sundays when they must include lunch as well.
   
Ross: I think we should let the villagers know that two club members will want to inspect homes and chat with the applicants before making the selection.
   
Susan: Agreed. Letters from those who are interested should reach us by August 26th. Then our members can visit on the 28th.
   
Ross: After six p.m., I suppose? Should the villagers write to you as secretary?
   
Susan:

I will like to inform you that we are expecting six foreign exchange students from Guadeloupe. They should be arriving on September 15th and leaving September 30th.

All hotels are full and we are requesting private homes for you to accommodate the students. Villagers that are interested must be able to speak fluent French because the students do not know English.

Interested villagers should reply to us by August 26 and include in the letter the amount you would be charging. If you are selected there will be two of our club members visiting your home on August 28 and having an interview.

Great use of information given, but simple grammar mistakes such as in the second to last paragraph. What could have been stated:

Our hotels are filled and so we request the accommodation of our foreign students into your homes. We anticipate the eager interest of you, our villagers, but one must be able to fluently speak French for our students are not able to speak English.

your purpose here is to make the villagers feel needed not commanded. The use of 'our' brings a closeness causing one to jump at the opportunity. the info concerning them being able to speak French is a let down so the way one gives the info lets them down easily instead of causing the villagers to murmur and might encourage them to learn French as to be apart of this venture next time.

that is just one paragraph I worked on, but the last one needed working on as well.

This letter pertains to any villager of Arroyo that can host students from Guadeloupe because all hotels will be booked at that time. The students will be arriving on the 15th of September and leave on the 30th. You have to be fluent in French as they know no English. You're expected to feed them breakfast and dinner Monday through Saturday and on Sundays breakfast, lunch and dinner.

The Denby sports club will be expecting the arrival of a group of Guadeloupean students on the 15th of September. It has come to our attention that there will be no rooms available in hotels at that time. We at the club are asking kindly for villagers to consider on letting these students stay in local homes at a fixed and reasonable cost. However, Breakfast and dinner is required everyday except on Sundays whereby lunch is to be included. Households occupying one or more student (preferably one student) is to be fluent in French. Also, expect an inspection of your homes and a consultation shortly after, as it is only in an effort to ensure the homes are suitable to occupy these students.
